Primary Function

The Building Administrator / Administrative Assistant serves as the main point of contact for all facility-related requests and administrative functions. This position is responsible for coordinating responses to building service requests, supporting internal communication, maintaining records, and assisting with day-to-day administrative tasks to ensure smooth facility operations.

Responsibilities

Facility Support

  • Receive, log, and track building service requests (e.g., maintenance, custodial, security, I.T).
  • Communicate facility issues to the appropriate departments or vendors for timely resolution.
  • Follow up on open requests and provide regular status updates to requestors.
  • Monitor general building conditions and escalate concerns as needed.
  • Coordinate conference room reservations and ensure proper setup for meetings and events.
  • Coordination of vendor serviced (pest control, etc.).

 

Building Administration Support

  • Serve as the primary administrative contact for CCF employees, vendors, and visitors.
    • Order office / coffee supplies, distribution of mail / deliveries, scheduling catered lunches, maintaining the visitor log, and assigning visitor badges.
  • Manage incoming calls and emails, and direct inquiries appropriately.
  • Prepare and distribute internal communications, reports, memos, and other documentation.
  • Support processing of invoices, purchase orders, requisitions, and assist with budget tracking.
  • Assist with scheduling meetings, coordinating events, and managing shared space usage.
  • Greet and monitor all visitors entering the Customer Care Facility, ensuring proper check-in procedures.
  • Assist with Continuous Improvement (CI) projects and activities, including training, room setup, and Kaizen event support.
  • Coordinate and provide administrative support for small capital projects.
  • Perform other duties and special assignments as required to support facility and office operations.
  • Assist with coordination of building activities (cookouts, lunches, customer service week, etc.)
  • Other responsibilities may be assigned as needed.

Qualifications

  • High School Diploma or equivalent
  • 2 years of Customer Service Experience
  • Good communication skills, phone etiquette, and the ability to properly respond to common inquiries or other issues from internal and external customers
  • Effective time management and critical thinking skills
  • Able to work both independently and collaboratively to meet deadlines and goals
  • Proficient in Microsoft Office suite (Excel, Word, Access, PowerPoint)
  • Familiar with SAP systems (preferred)
