Export Sales Coordinator

Primary Function

To coordinate order entry, production, shipment documentation, loading, and shipping of all international customer ocean or domestic export shipments from AC, McBee, El Paso, Franklin, and JZ manufacturing locations. Communicate with customers and Sales Representatives and the multiple plants listed above regarding lead times, container sizes, and facilitation of any requests.  Incumbent must have very strong written and verbal communication skills.

Responsibilities

  • Intercompany and Customer order entry, planning (includes China, Veldhoven, Stratford, Fergus).
  • Obtain freight quotes for domestic exports and parts.
  • Receive and handle customer requests and complaints via phone, or computer.
  • Inform customer of parts prices, shipping date, anticipated delays, and any additional information needed by customer to include maxload planning and suggestions for best use of.
  • Work with accounting to determine credit limits and funds received. Provide invoices for balance.
  • Check inventory and schedule shipment of customer orders.
  • Follow-up on orders to ensure delivery by specified dates.
  • Check and confirm pricing and discount of customers.
  • Confers with production, sales, shipping, warehouse, or common carrier personnel to expedite or trace missing or delayed shipments.  Maintain short shipments.
  • Compiles statistics and order reports (including Mstats) and prepares various reports for management.

Additional Responsibilities

  • Handle irate customers in a professional manner.
  • Forwarder set ups for system entry including obtaining proper docs (W8, W9 etc.)
  • Participates in continuous improvement of standard operating procedures.
  • Problem solving.
  • Works closely with Trade Compliance to ensure proper documentation.  Includes following established processes.
  • Request configurations of Specialty commercial or residential product providing all required information.
  • Perform other duties as assigned.

  • Excellent computer skills in MS Word, MS Excel, Outlook, and Windows.
  • Strong written and verbal communication.
