Primary Function

We are seeking a highly organized, proactive, and detail-oriented Executive assistant to provide top-level administrative support directly to executives (excluding CEO), exercising confidentiality, tact and diplomacy. Uses business software applications (e.g., presentation, spreadsheet and word processing) to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Receives, screens and directs incoming calls, visitors, mail and e-mail. Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses. Participates in the development and implementation of secretarial standards, policies and practices for the organization.  This is an in-office support role.

Responsibilities

  • Responsible primarily for supporting the CFO’s and Finance department business activities
  • Manage investor relations function logistics and other administrative tasks
  • Manage the daily itinerary, meeting schedules, travel arrangements and certain other Finance and Flight Department administrative duties
  • General correspondence, document production, filing and presentation preparation
  • This position will be a part of the Executive Assistant team and have joint accountability in support the Executive Staff
  • Other responsibilities may be assigned as needed.

Qualifications

  • High school diploma or GED
  • 5+ years related work experience
  • Strong skills in word processing and PowerPoint presentation software are required
  • Excellent record management, organization and filing skills are necessary
  • Ability to handle a high-pressure work environment and sensitive issues with confidentiality and tact Must be a team player who enjoys his or her work and gets along well with others
  • The ideal candidate will be comfortable with and enjoy learning about the new technological advances that are becoming a part of today’s business environment

 

ADDITIONAL QUALIFICATIONS:

 

  • Previous work experience in finance or investor relations department is a plus, but not required
