Primary Function

As the Executive Assistant, you will provide secretarial/administrative support directly to executives, exercising confidentiality, tact and diplomacy, with primary responsibility for board of directors’ meetings, materials, communications and postings. Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries. Receives, screens and directs incoming calls, visitors, mail and e-mail. Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements, and tracks expenses. Participates in the development and implementation of secretarial standards, policies and practices for the organization.

 

This position will be 100% on-site out of our corporate headquarters in Milwaukee.  

Responsibilities

  • Responsible primarily for managing the logistics of the Executive Vice President – Corporate Development & Secretary and the Senior Vice President – General Counsel’s business, legal, government affairs and corporate development activities.
  • Responsible for preparing for and managing the five Board of Directors meetings each year.  Previous experience with Board members and Board portals is a plus but not required.
  • Responsible for working with the Legal Administration Supervisor in preparing the Corporate Secretary Calendar and the Proxy Statement Calendar as well as assisting in preparing the Proxy Statement for printing.
  • Manage the daily itinerary, meeting schedules, travel arrangements and certain other administrative duties.
  • Creating and editing presentations, including PowerPoints.
  • General correspondence, document production, filing and presentation preparation.
  • This position will be a part of the Executive Assistant team.

Qualifications

    • High School Diploma or equivalent.
    • Must possess a minimum of 5 years’ office and clerical support experience.

       

      ADDITIONAL QUALIFICATIONS:

    • Ability to handle a high-pressure work environment and sensitive issues with confidentiality and tact.
    • Must be a team player who enjoys his or her work and gets along well with others.
    • Strong skills in word processing and PowerPoint presentation software are required.
    • Excellent record management, organization and filing skills are necessary.
    • The ideal candidate will be comfortable with and enjoy learning about the new technological advances that are becoming a part of today’s business environment.
    • Previous work experience with executives is a plus but not required.
    • High School Diploma or equivalent.
